Online notary for property management companies and commercial leasing teams
ENotary lets property management companies and leasing teams notarize leases, guaranties and owner documents without chasing a signer to a notary office. The signer opens a link, passes identity checks, signs on video with a commissioned online notary, and the sealed document and audit trail return to your lease file. Business includes 12 network notary sessions a month for 299 USD, or 149 USD per month billed yearly.
The short answer for property managers
Most residential leases do not need a notary, but plenty of property paperwork does: commercial leases and memoranda of lease that will be recorded, lease guaranties, subordination and estoppel documents, owner powers of attorney and sworn statements. Remote online notarization (RON) lets the signer, often an out-of-state owner or a guarantor at another company, sign from any device while a commissioned online notary watches. Check your state's rules and the county recorder for the document type before you change your process, since acceptance varies.
Close the next lease document without a notary appointment
Business includes 12 network notary sessions a month, each with up to 4 signers and 10 documents, for 299 USD or 149 USD per month billed yearly.
Where property paperwork stalls
Delays rarely come from the lease terms. They come from getting every signature notarized before move-in, before a recording deadline or before a lender funds.
| Stall point | What happens | What RON changes |
|---|---|---|
| Out-of-state owner or investor | The owner has to find a notary and courier the original | The owner signs from their own city, the sealed PDF arrives in minutes |
| Guarantor at another company | A personal or corporate guaranty sits unsigned for a week | The guarantor joins the session on a phone or laptop |
| Several signers on one document | Tenant, guarantor and landlord sign on different days | Up to 4 signers join one session, each from their own location |
| Recorded lease or memorandum | Recorder rejects a page with a missing or wrong notary block | The notary reviews the signed pages on screen before sealing |
| Disputed signature later | A party says they never signed | Video, identity results and the notary journal entry are on file |
Documents property managers put through a notary
Whether a document needs a notarial act depends on the state, the document and the party requiring it, whether a lender, a title company or the county recorder. These are the ones property and asset management teams most often route to a notary.
| Document | Who signs | Why it is notarized |
|---|---|---|
| Commercial lease or memorandum of lease | Landlord and tenant | A memorandum is recorded to give notice, and recording usually needs an acknowledged signature |
| Lease guaranty | Guarantor | Lenders and landlords want proof that the guarantor signed knowingly |
| Subordination, non-disturbance and estoppel certificates | Tenant and landlord | Lender and title requirements often call for acknowledged signatures |
| Owner power of attorney for the manager | Property owner | The agent acts for the owner in recorded or financial matters |
| Sworn statements and affidavits | Owner or tenant | Used for insurance, evictions support and ownership facts |
| Management agreement amendments | Owner | Some owners and lenders require an acknowledged signature |
RON handles the notarial act only. It does not change what your lease form, your lender or your state requires, so keep those steps in your workflow.
How a lease document gets notarized online
- 1 Your team uploads the final document, or picks a saved template, and adds each signer.
- 2 Each signer receives a link by email or text and opens it in a browser. No app install.
- 3 Each signer passes credential analysis of a government photo ID and knowledge-based authentication built to the MISMO standard.
- 4 A commissioned online notary joins the video call, confirms identity and willingness, watches each signer sign and applies the electronic seal and certificate.
- 5 The sealed PDF, the audit trail and the session recording go to your lease file.
If the county recorder wants paper, the online notary can certify a printed copy of the electronic record where state law allows it.
Cost per month for a property management team
Per-session services start at about 25 USD for one signer and one seal, with each extra signer or seal costing more at most vendors. A monthly plan wins once notarization is routine. These figures use the minimum per-session price, before extras.
| Sessions per month | Per-session at about 25 USD minimum | ENotary |
|---|---|---|
| 4 | about 100 USD | 119 USD on Starter, or 59 USD billed yearly |
| 12 | about 300 USD, more with extra signers and seals | 299 USD on Business, or 149 USD billed yearly |
| 40 | about 1,000 USD, more with extra signers and seals | 799 USD on Scale, or 399 USD billed yearly |
On ENotary a session covers up to 4 signers and 10 documents, so a lease with a landlord, tenant and two guarantors is still one session. At 4 sessions a month, pay-per-use can be cheaper on a monthly bill, and we say so. Full plans are on the online notary cost page.
Who in a property management firm uses it
- Commercial leasing teams that close leases and guaranties with tenants in other cities.
- Asset managers who need owner signatures from investors across the country.
- Property accounting and compliance staff who pull the audit trail when a signature is questioned.
- Regional managers with a commissioned notary on staff, who can take sessions on own-notary seats. Business includes 2 and Scale includes 10, and those sessions do not use the network allowance. See bring your own notary.
What to ask any RON vendor before a rollout
- Is pricing per session, per signer or per seal, and what does a lease with a guarantor cost?
- Are network notaries available evenings and weekends, when tenants and owners are free?
- Can the signer join from a phone browser without installing an app?
- Which states are the notaries commissioned in, and does the recorder in your largest markets accept the result?
- Can our own commissioned staff use the same platform?
- Does the audit trail include the recording and the notary journal entry?
Property management notarization questions
Can a commercial lease be notarized online?
In most cases, yes. A notary commissioned in a remote online notarization state can notarize the signature on video. Confirm that the county recorder accepts an electronic original or a notary-certified paper copy if you plan to record the lease or a memorandum.
Does a lease have to be notarized?
Not always. Many residential leases are valid without notarization, while recorded leases, memoranda and some guaranties usually require an acknowledged signature. Your state law, lender and recorder set the rule for each document.
Can an out-of-state owner sign remotely?
Yes. The owner joins from any location with a camera and internet, passes identity checks and signs while the notary watches. The notary's authority comes from the notary's own commission and state law, so confirm your state allows RON for the document.
How much does online notarization cost for a property management company?
Per-session services charge from about 25 USD for one signer and one seal, rising with extra signers and seals. ENotary includes sessions in a monthly plan: 4 on Starter at 119 USD, 12 on Business at 299 USD and 40 on Scale at 799 USD, each covering up to 4 signers and 10 documents.
What evidence do we keep if a signer disputes the signature?
Every session keeps the identity check results, device data, a timestamped event log, the notary's electronic journal entry and the audio and video recording. That gives you the video of the signer passing identity checks and signing.
